A Bot is sending email as me
If a Bot was connected with your Gmail, it sends as you. How to move it to its own address, keep a shared inbox it can read, and gate every send.
Short answerDisconnect your Gmail from the connector, connect a Bot-owned address instead, delegate or share the inboxes it needs to read, and make sending an approval step. Emails the Bot drafts should go out from the Bot's address or from a shared alias, with your name only when a human approves.
Why it happened
Connectors are account-wide. Someone authorised Gmail once with their own account; now every Bot with an email routine sends from it.
Fix
- Settings → Plugins → remove the Gmail authorisation.
- Create
ops-bot@yourdomain(see own accounts). Authorise Gmail as that user. - For inboxes the Bot must read (support@, invoices@), delegate them to the Bot user or make them shared groups the Bot is a member of.
- In every email routine: draft unattended, send with approval. Outbound from the Bot address or the shared alias, signed as the team, not as a person.
- If a Bot needs to reply on a thread that's in your personal inbox, forward the thread to the shared inbox. The Bot never lives in your mailbox.
