Law firm automation with Grok Bot
A supervised law firm automation setup using Grok Bot for intake triage, matter preparation, document routing and status summaries without replacing legal judgment.
The business problem
Legal teams repeat the same operational preparation: classify an enquiry, collect missing fields, create a matter-opening checklist, route documents, find dates and assemble a status update. This work is valuable, but it is not the legal judgment the client is paying for.
Grok Bot can prepare the record and the next task. It is not a lawyer, a conflict checker or a source of final advice.
What the firm provides
- Approved intake forms, matter templates and practice-area routing rules
- A dedicated user in the practice-management system with limited permissions
- The exact document repositories the Bot may read
- Required fields, naming conventions and escalation triggers
- A lawyer responsible for review and client communication
- A written decision on confidentiality, model retention and permitted data
Example: intake to matter-opening preparation
| Stage | Bot responsibility | Human responsibility |
|---|---|---|
| Intake | Extract names, matter type, jurisdiction, dates and missing information. | Decide whether the enquiry should proceed. |
| Conflict preparation | Assemble possible parties and spelling variants. | Run and decide the conflict check. |
| Matter draft | Prepare fields, checklist and document requests. | Approve the matter and access rights. |
| Status work | Summarize authorized records and open tasks. | Verify legal meaning and send any client update. |
Clio describes matters as the central record connecting contacts, documents, tasks and calendar activity. Its Manage API and scoped permissions support controlled preparation, while signed webhooks can trigger work when approved records change.
What should never run unattended
Conflict clearance, legal conclusions, filing, privilege decisions, deadline changes, final document review and client advice. The ABA's Formal Opinion 512 identifies competence, confidentiality, communication and supervision duties when lawyers use generative AI. Your jurisdiction and client obligations may add more.
Data and retention decision
Before connecting confidential material, decide what the Bot can read, where outputs are stored and which model features are permitted. xAI states that standard API requests and responses are retained for a limited abuse-auditing period, while eligible Zero Data Retention configurations trade away some stateful file features. The firm must choose the configuration before client data enters the workflow.
How to measure the result
Measure time from intake to complete review packet, missing-field rates, matter-opening corrections and status-report preparation time. Do not measure success by how many legal decisions a Bot makes; it should make none.
To scope the accounts, approvals and data boundary, build your team.
